Who we are

Labelwala ("we", "us", "our") is a custom clothing label and patch manufacturer based in Ahmedabad, Gujarat, India. We operate the website at labelwala.store and respond to enquiries primarily over WhatsApp at +91 96649 55791 and email at labelwala.store@gmail.com.

This policy explains what personal data we collect when you visit the site, request a quote, send us artwork, or order from us — and how we use, store and protect it. We aim to comply with India's Digital Personal Data Protection Act, 2023 (DPDP) and the EU GDPR for any visitors from the EU.

What we collect

Information you give us directly

• Quote & order details — your name, brand name, phone number, email, shipping address, GST number (if applicable), label specs and quantity.
• Artwork files — logos, designs, name lists or roster spreadsheets you share via WhatsApp, email or our quote form.
• Payment information — UPI ID, bank reference number or invoice details. We do not store full card numbers; payments are processed by your bank or UPI app.
• Communications — messages, voice notes and call records exchanged on WhatsApp, email or phone.

Information collected automatically

• Basic server logs — IP address, browser type, pages viewed, timestamp. Used only for security and debugging. Logs are deleted after 30 days.
• Quote form submissions — when you fill our embedded Tally form or contact form, the form host (Tally.so or FormSubmit.co) processes your submission on our behalf. Their privacy practices are governed by their own policies.

We do not use Google Analytics, Facebook Pixel, advertising cookies, retargeting tags, or any third-party tracking. The only cookies in play are essential ones set by Tally (when you use the Quick Quote form) and standard Google Fonts/CDN caching headers.

How we use your data

• To send you a quote, sample preview and invoice.
• To produce and ship your label or patch order.
• To follow up on enquiries, share order updates and tracking info.
• To comply with legal obligations (GST invoicing, accounting records).
• To improve our product offerings based on aggregate, anonymous trends — never individual profiling.

We will never sell, rent or trade your personal data to third parties.

Your artwork & intellectual property

Designs, logos and artwork you share with us remain your intellectual property. We use them only to manufacture your order and for internal QC records.

We may show finished work on our portfolio page or social channels for marketing purposes — but only with your written or WhatsApp consent. If you'd like your work kept private (an NDA-style arrangement), just tell us. We honour that on every order, no questions asked.

How long we keep it

• Quote enquiries that don't convert — kept for up to 12 months in case you come back, then deleted.
• Active customer records — kept for the duration of our relationship plus 8 years (to satisfy GST and Income Tax record-keeping requirements under Indian law).
• Artwork files — kept for 24 months after your last order, then deleted from our active storage. We can delete sooner on request.
• Server logs — 30 days, then automatically purged.

Who we share data with

We share the minimum necessary data with:

• Shipping partners (DTDC, Delhivery, India Post, Blue Dart) — your name, address, phone for delivery only.
• Payment processors (your bank, UPI app provider) — transaction reference only.
• Government authorities — when legally required (GST returns, tax investigations, court orders).
• Form & messaging platforms we use — Meta (WhatsApp), Tally.so (quote form), FormSubmit.co (contact form), Google (Gmail). Each operates under its own privacy policy.

We do not share, sell or rent your data to anyone for marketing, advertising or profiling.

Your rights

Under the DPDP Act and GDPR, you have the right to:

• Access — ask what data we hold about you.
• Correction — fix anything that's wrong.
• Deletion — ask us to erase your data (subject to legal retention obligations like GST records).
• Portability — get a copy of your data in a usable format.
• Withdraw consent — at any time. We'll stop using your data for the affected purpose immediately.
• Lodge a complaint — with India's Data Protection Board or your local supervisory authority.

Children

Our services are intended for businesses and adults. We do not knowingly collect data from anyone under 18. If a parent orders personalised name labels for a child, the parent's data is what we hold — not the child's.

Security

We use industry-standard measures to protect your data: HTTPS encryption, password-protected accounts, restricted access to artwork folders, and physical security at our Ahmedabad facility. No system is 100% secure, but we treat your data with the same care we'd want for our own.

Cookies

This site itself sets no first-party cookies. Third-party services we embed (Tally for the quote form, Google Fonts) may set their own functional cookies — these are required for those services to work. We don't use any analytics, advertising or tracking cookies.

Changes to this policy

If we update this policy, we'll change the "Last updated" date at the top. Material changes will also be posted on our home page and emailed to active customers. Continued use of our services after changes means you accept the updated policy.
